Custom automation · Service teams · Scoped to your process

Custom AI automation and agent workflows for service teams buried in manual process.

If your business runs on people doing the same manual steps every week, like onboarding clients, chasing documents, booking time, updating systems and pulling reports, we scope that work and build AI-driven workflows and agents around how your team actually runs. Your people stay in the loop on every step that matters.

What we build

Most service businesses with a team have the same problem: skilled people spending hours on work that follows the same steps every time. Chasing documents. Re-keying details from one system into another. Pulling numbers into the same report every month. Writing the same update email for the tenth time.

We build AI-driven workflows and agents that take on those steps. A workflow is a process that runs the same way every time: something arrives, gets checked, sorted and passed to the right person. An agent is an AI tool that can handle a task with some judgment inside rules you set, such as reading an incoming document, working out what it is, and drafting the next step for a person to approve.

Tailored, not generic. We don’t sell one package to every business. We start by mapping how your team actually does the work today, then build around that, using the tools you already have wherever we can.

How we work

  1. Free scoping call. You walk us through the process that eats the most time. We ask where the work comes from, who touches it, and where it gets stuck.
  2. Process map and fixed quote. We write down the steps, mark which ones a person must always review, and quote a fixed price for the build.
  3. Build and test. We build the workflow and test it with your team on real, low-risk work before anything goes live.
  4. Handover. Your team gets plain-English notes on what the workflow does, who approves what, and how to switch it off.
  5. Monthly plan (optional). On Run we monitor and fix what breaks. On Run and Improve we also improve the workflows and add new extensions each month. No lock-in: the minimum commitment is one month at a time, and each month you choose whether to continue.

People stay in the loop

  • Human review on what matters. Anything client-facing, anything that files, pays or signs, and anything involving professional judgment goes to a person in your team first.
  • AI is labelled honestly. We tell you which steps use AI and what it can and can’t be trusted with.
  • You control the data. You decide what each workflow can see. We keep access to the minimum it needs, and you can revoke it at any time.
  • We don’t give professional advice. We are not lawyers, accountants or advisers in your field. We build the tools; your qualified people make the calls.

Any service team

If your team delivers a service and the same manual steps repeat every week, there is usually a workflow worth building. That covers professional services, clinics, trades and property businesses, consultancies, agencies and more. Examples of what we can build for any service team:

Client onboarding

New client details collected once through a form, checked for gaps, and turned into a welcome pack, set-up tasks and records in your systems, with anything missing flagged for a person.

Scheduling and bookings

Booking requests read and matched against the availability rules you set, with a confirmation or reschedule message drafted for staff to approve, and reminders queued.

Admin and data entry

Details that get re-keyed from emails, forms and documents into your job, CRM or accounting systems, captured once and checked before they are saved.

Reporting handoffs

Numbers pulled from the tools you use into a standard report, with draft notes for a person to check before it goes to a manager or client.

Inbox triage

A shared inbox sorted by client, topic and urgency, with routine replies drafted from your own standard wording and anything unusual routed to the right person.

Job and task handoffs

When a job moves from one person or stage to the next, the notes, files and next steps are gathered and passed on, so nothing sits waiting in someone’s head.

Below are featured examples for three professions. Your business doesn’t need to be one of them.

For accountancy practices

Examples of workflows we can build for an accounting practice. Each one is scoped to how your practice runs.

Client onboarding

New client details collected once through a form, checked for gaps, and turned into a draft onboarding pack and engagement letter from your templates, ready for a partner to review and send.

Year-end document chase

A checklist of records each client still owes, with polite reminder emails drafted on a schedule you set and a running list of what has arrived.

Incoming document sorting

Statements, receipts and invoices clients send in are read, labelled and filed into the right client folder, with anything unclear flagged for a person.

Monthly management reports

Figures pulled into your report template with draft commentary for an accountant to check, edit and approve before the client sees it.

Deadline reminders

Client reminder emails drafted ahead of the filing and payment dates your practice tracks, queued for a person to approve.

Inbox triage

Client emails sorted by client and topic, with routine questions answered in a draft from your own standard wording for staff to review.

Tax positions, coding decisions and anything filed with Inland Revenue stay with your qualified staff.

For law firms

Examples of workflows we can build for a law firm. Each one is scoped to your practice areas and your firm’s policies.

New matter intake

Enquiry details captured through a form and summarised for a lawyer, with the names and parties laid out so your team can run its own conflict check.

Client document collection

A checklist of what each client needs to provide for a matter type, with reminder emails drafted for staff to send and a record of what has come in.

First drafts from your precedents

Routine documents assembled from your firm’s own precedents and the matter details, as a starting draft for a lawyer to review and finalise.

Chronologies and summaries

Long email chains and document bundles turned into a draft chronology or summary with references back to the source, for a lawyer to check.

Matter update emails

Plain-English status updates drafted from the matter file so clients hear from you regularly. A lawyer approves each one before it goes.

Time entry narratives

Draft time-entry descriptions prepared from calendars and correspondence, for fee earners to review and correct.

Legal advice, conflict decisions and anything filed or sent on a client’s behalf stay with your lawyers.

For marketing agencies

Examples of workflows we can build for a marketing agency. Each one is scoped to your services and your client mix.

Client onboarding and briefs

New client and campaign briefs collected through one form, checked for missing details, and turned into a structured brief for your team.

Client reporting

Data pulled from the analytics and ad platforms you use into your report template, with draft commentary for an account manager to edit before it goes out.

Content pipeline

Brief to draft to review to scheduled, with AI first drafts in the client’s voice and a named person approving every piece before it is published.

Search and AI visibility checks

A fixed list of client questions checked regularly across Google and AI assistants, logged so you can show clients what changed. No placement promises.

Ad account alerts

Spend and performance watched against rules you set, with a plain-English alert when something looks off.

Proposals and scopes

Proposal and scope-of-work drafts assembled from your templates and discovery notes, for a person to price and finalise.

Common questions

Who is this for?

Any service-based business with a team and a lot of manual process: professional services, clinics, trades and property businesses, agencies, consultancies and similar. Accountants, law firms and marketing agencies are featured examples, not the only fit.

Is this an off-the-shelf product?

No. Every build starts with scoping your actual process on a free call. We then quote a fixed price for that build. Two businesses in the same line of work rarely run the same way, so we don’t sell one template to everyone.

Do you give legal, accounting or other professional advice?

No. We build the workflows and tools. Your qualified people make the professional judgments, review the outputs and sign off anything that goes to a client, a court or Inland Revenue.

Will AI send things to our clients on its own?

Not unless you decide a specific, low-risk step should run that way. By default, anything client-facing is drafted for a person in your team to review and send.

What does it cost?

Builds: Single workflow from NZ$3,500 + GST one-off, and Team workflow system from NZ$9,500 + GST one-off. Every build is scoped on the free call before we quote a fixed price. Monthly plans: Run is NZ$790/month + GST for monitoring and fixes, and Run and Improve is NZ$1,590/month + GST for monitoring and fixes plus ongoing improvements and new workflow extensions.

Is there a contract on the monthly plans?

No lock-in. The monthly plans are month to month, and the minimum commitment is one month at a time. Stay as long or as little as you like. There is no pressure to stay, and each month you choose whether to continue.

What systems do you work with?

We prefer to build on the tools your team already uses, such as your email, calendars, document storage and practice, job or accounting software, where they allow it. We confirm what is possible for your stack during scoping.

How do you handle confidential client data?

You decide what data each workflow can see, and we set access with you during scoping. We build inside accounts you control wherever possible, keep access to the minimum the workflow needs, and you can revoke it at any time.
