Guides for NZ small businesses

Practical notes from Backroom Ops — Hamilton, NZ · approval-gated by design · llms.txt

These are working notes from Backroom Ops in Hamilton: the checks, sequences and rules of thumb we use when we look after a small business’s Shopify store, Google presence or back office. Each guide opens with a direct answer, tells you what to do first, and says plainly where the limits are. None of them promises a ranking, a placement in an AI answer, or a result we cannot show you in your own numbers.

They are grouped by the question that usually brings people here: getting found in ChatGPT, Claude and Google’s AI answers; keeping a Shopify store running without surprises; and the local Google work (Maps, reviews, small ad budgets) that still brings most enquiries to a Waikato business.

How to use these guides

Read the direct answer at the top. If it matches your situation, work down the page. Each guide is written so you can do the job yourself or hand it to whoever runs your site, with a plain list of what to change and in what order. Where we describe a client situation it is marked illustrative until we have a real case we have permission to share. Where a guide leans on a Google, Shopify or Xero rule, we point at the official documentation rather than paraphrase it, because those rules change and the official page is what your account will be judged against.

Every guide assumes the operating rule we use ourselves: AI and tooling can draft, but a person approves anything that touches money, stock, customer data or what the public sees. If a guide tells you to automate something, it also tells you where the approval gate goes.

Where to start

You run a Shopify store and something is leaking. Start with the weekly fulfilment checklist. If stock is the problem, go to inventory sync break points; if the accountant is, go to Xero–Shopify reconciliation. The app audit is the one to read when the store “used to be fine”.

You are a local service business and the phone is quiet. Start with fixing a neglected Google Business Profile, then local SEO for Hamilton and Waikato. If you are weighing up a small ads budget, read Google Ads on a small budget before you spend anything.

You keep hearing about AI search and want the plain version. Read What is GEO? first, then the ChatGPT, Claude and Google AI Overviews guides. They share one idea: assistants cite pages that answer a question clearly, so most of the work is good pages, not tricks.

You want to use AI in the business but do not know where. Where to start with AI in a small business picks one visible job you approve, and 7 Shopify ops tasks AI can draft shows what that looks like inside a store.

ChatGPT visibility

What ChatGPT does when someone asks it for a business like yours, and the small set of page changes that make you citeable. No placement promises, because nobody can make them.

Claude visibility

Claude reads the web through its own crawler and through live search when a person asks a question. This guide covers what it looks for and how to check that your pages are reachable.

Google AI Overviews & AI Mode

Google’s AI answers draw on pages that are already indexed and eligible for snippets. There is no special schema to add; this guide explains what that means for an NZ site and what to check in Search Console.

AEO / GEO & AI search (shared)

The shared foundation: what generative engine optimisation is without the hype, and how to choose a first AI job in a small business that you can see, measure and approve.

Shopify store ops

The day-to-day work of running a store: orders, stock, accounting, feeds, apps and who has access to what. Written for owners and for the people who run the admin on their behalf; every sequence keeps an approval gate on money and stock.

Local SEO, Maps & measurement

Google Maps and local search still bring most enquiries to Waikato service businesses. These guides cover the profile itself, reviews, town pages, small ad budgets, and what a free audit should include before you trust it.

About these guides

The guides are written and maintained by the Backroom Ops team in Hamilton, New Zealand. Each one shows the date it was published and, where we have revised it, the date it was updated. We revise a guide when a platform changes its rules, when a reader points out a gap, or when our own work turns up a better sequence. Older guides are kept rather than deleted, so you may occasionally find two that overlap; the newer one is the one we would follow today.

If a guide is out of date, or you have a question it does not answer, email hello@backroomops.co.nz. A person reads it and replies within one New Zealand business day. If you would rather have us look at your own store or site, the free diagnostic on the home page is the same team and the same inbox.
