Front Desk + Backroom · Owner-led businesses · You approve every action

An AI front desk and back office for New Zealand builders, advisers and operators.

Agents do the admin. A person approves every action. The Front Desk answers calls, texts and emails in the owner’s voice. The Backroom reads the paperwork, prices the variations, chases the documents and checks the invoices, then puts each job in one queue for you to approve.

Two products, one rule

Front Desk

The owner’s AI clone

Answers calls, texts and emails in the owner’s voice, qualifies enquiries and books the work. It always says it’s an AI assistant.

Backroom

Agents do the admin

Single-job agents read documents, price variations, chase paperwork, check supplier invoices against quotes and keep deadlines.

The owner

One queue to approve

Every quote, message and payment waits for a person to approve it, with a record of who approved what and when.

How it works

Every playbook follows the same four steps. One agent does one job, and nothing reaches a client until a person has approved it.

1 · Capture

Calls, emails, site voice notes, documents, Xero ledgers and bank feeds, read with permission.

2 · Spot

Rules turn that into jobs: an unpriced variation, an invoice above the quote, a fixed rate ending in 90 days.

3 · Route

Each job goes to the right person’s queue, ranked by value and deadline, with the draft already done.

4 · Engage

Approved messages, quotes and reminders go out. Declined ones stop there. Everything is logged.

Example: a builder’s variation, start to finish

Voice note from site→Variation priced from the rate card→Owner approves on the phone→Client signs online→Invoice raised in Xero

Playbooks by industry

The engine is shared. Each playbook adds one industry’s forms, rules and wording, and we build each one with businesses that use it every day.

Construction

Builders, their trades and suppliers. Variations priced and signed. Defects logged, assigned and closed with photos. Records of work, producer statements and retentions tracked. Subcontractor onboarding and compliance documents collected before they’re needed.

Property

Developers and property managers. Lease and rent-review dates kept. Repair requests triaged and sent to the right trade. Contractor insurance and compliance checked before work starts.

Hospitality

Hotels, venues and their suppliers. Supplier invoices checked against agreed prices. Group and event enquiries answered and quoted. Review replies drafted for a manager to approve.

Finance and advice

Lenders, insurers, advisers and accountants. Client documents chased and filed. Refix, renewal and review dates kept. For groups that pair accounting with lending, insurance and wealth, the books show (with the client’s consent) where a client may need a refix, a cover review or a plan for surplus cash, and each opportunity goes to the right adviser to approve.

In financial services the system never recommends a product. Your licensed advisers decide what’s suitable and approve every client message.

For groups and networks

One agreement, every site. Franchise groups, accounting groups and hotel groups can roll the same Front Desk and Backroom out to each member, with group-level reporting. Each member’s subcontractors and suppliers can join too, so paperwork arrives complete instead of being chased.

Built to be trusted

  • A person approves every action. Quotes, client messages, payments and anything filed or signed wait in the approval queue.
  • A full record. Every draft, approval and change is logged with who approved it and when.
  • AI is labelled. The Front Desk tells callers it’s an AI assistant, and we tell you which steps use AI.
  • Consent first. Financial data is only read with the client’s permission, and they can withdraw it.
  • Client records stay in New Zealand. We store client data in New Zealand and tell you which AI services process it.
  • No professional advice from us. We build the tools; your qualified people make the calls.

Built in our own businesses first

We run these agents in our own businesses before we offer them to anyone else. In September 2026 they researched, wrote and published 33 search pages in two days, and eleven scheduled agent jobs now run our weekly reporting, search monitoring and research articles. A person signs off everything they produce.

Pricing

Every setup is scoped on a free call before we quote: a one-off build, then a monthly plan that runs month to month with no lock-in. Groups and networks get member pricing. For examples, see our build and monthly plan pricing.

Common questions

Is the Front Desk a real person?

No. It’s an AI assistant set up with your services, prices and wording, and it says it’s an AI. Anything it can’t handle, or anything that commits you, goes to you or your team.

Will AI send things to my clients on its own?

No. By default every client-facing message, quote and payment waits for a person to approve it. You can choose to let specific low-risk steps run on their own.

Which systems does it work with?

We build around the tools you already use, such as email, phones, Xero, bank feeds, and your job or practice software where it allows it. We confirm what’s possible on the free call.

Do you replace our job-management software?

No. Job-management and accounting software record the work. We take on the admin around them and keep them up to date.

Is this financial advice?

No. For advice firms, the system finds and routes opportunities. Your licensed advisers decide what’s suitable for each client and approve every message.
